Camp Liberty welcomes individuals and civilian or uniformed organizations. Program and event leaders are responsible for briefing their guests and ensuring compliance with campus rules.
For larger programs, Camp Liberty can meet with your staff in person or virtually. These milestones are a planning guide and may be adjusted by agreement to fit your event and staffing conditions.
When
What to prepare
About 90 days before
Provide your detailed schedule, requested facilitated activities such as ziplines, rappelling or obstacle course, projected participant/staff totals, special meals and other unique requirements.
About 7 days before — final coordination
Finalize participant and staff numbers; provide medical, religious and allergy-related meal requirements; confirm equipment/vehicles and staged resources; complete the final lodging/facility walkthrough; establish the Camp Liberty Project Officer as primary contact; For third-party organization events totaling $5,000 or more, complete payment in full seven days before the event; the approved agreement states the exact date. This deadline does not apply to lodging or courses.
About 1 day before / arrival
Verify requirements on site; hold a meeting between your Program Director and the Camp Liberty Project Officer; walk through and accept assigned lodging and facilities; complete the staff safety and standards briefing.
Special meals and MRE arrangements need at least one week’s notice. Requests received close to the event date depend on availability. We review pending purchases and reservation requests within 24 hours.
Reservations, Payment & Equipment
Military and law-enforcement guests receive a lodging discount equal to the cleaning fee. ID verification is required before the discount is approved. Select the discount when requesting lodging. You may upload redacted eligibility documentation privately with your request or arrange ID verification in person. Do not upload an unredacted military CAC, Social Security number or other unnecessary personal data.
Individual lodging must be paid in full when booking and is nonrefundable. For approval-based group arrangements, card authorization is a temporary hold, not a payment. Camp Liberty reviews requests within 24 hours and captures approved authorizations before they expire; rejected requests are voided. Holds are not kept until a distant arrival date. The online authorization workflow is being configured; use the secure payment instructions supplied by staff.
Camp Liberty reviews dates, capacity, equipment inventory and event requirements before approving lodging, facilities, weddings, events or equipment rentals. A submitted inquiry does not reserve a facility, chair, vehicle or activity. Once approved, use the invoice or secure payment link supplied by Camp Liberty. Payment alone does not authorize an unapproved activity.
Lodging normally has a two-night minimum. Payment is recorded as paid only after capture succeeds. Individual lodging must be paid in full when booking and is nonrefundable. For approval-based group arrangements, authorization alone does not confirm a booking. All services, rentals, lodging and purchases are nonrefundable, except where required by applicable law. Full payment is due seven days before the event only for large-scale events totaling $5,000 or more run by a third-party organization. This seven-day deadline does not apply to lodging, courses or other purchases. Other payment timing follows the applicable booking, enrollment or approved agreement terms. Private cottages and furnished suites provide linens, pillows and towels; group-lodging guests bring their own bedding and towels.
Issued equipment must be returned on time in the condition issued. Coordinate any damage, loss or missing items with staff. Camp and training programs lasting three or more days may receive a combined-use proposal. Qualifying programs generally include a personalized single dogtag with a chain or key loop and Call Center use. The overview also includes chapel use at no charge for churches conducting organized programs of three or more days, with weddings taking scheduling priority. Confirm all inclusions in your agreement.
Weddings are scheduled August through May. No weddings are hosted during June or July because of the summer youth training mission. Other campus availability also depends on training schedules.
Guest Policies
Tobacco, Smoking & Vaping
